Release order lines

The Release function in Merchant Portal allows you to manage undelivered order lines by releasing payments, gift cards, or bonuses tied to them.

With the Release function, you can:

  • Release payment for undelivered order lines
  • Set payment, shipping, and gift card options
  • Reclaim bonus points to the customer

The Release function in Brink Commerce allows you to manage undelivered order lines by releasing payments, gift cards, or bonuses tied to them. This function is useful when partial deliveries are made, and the remaining order lines won’t be fulfilled. By releasing payments, you finalize the transaction while canceling the undelivered items.

Scenario

Partial Delivery and Releasing Payment for Non-Delivered Order Lines

The Release function covers three key areas:

  • Release Payment: Finalizes payment for order lines that won’t be delivered.
  • Release Gift Card: Frees up any gift card balance tied to undelivered items.
  • Release Bonus: Reclaims any promotional credits or bonuses attached to the undelivered order lines.

Steps to Release Payment for Undelivered Order Lines

1. Navigate to the Order

  • In the menu, go to Orders and then select Orders again.
  • Use the search field to find the order you wish to manage.
  • Once found, click on the order to view its details.

2. Manage the Order

  • In the top right corner of the order detail page, click the Actions button and select Manage Order.

3. Go to the Releases Tab

  • On the Manage Order page, select the Releases tab at the top.
Note: Only orders that have been partially delivered will display the option to release.

4. Optionally Enter a Reason and Code

  • Below the order details, you can enter a reason and code for the release, depending on your internal processes. This step is optional.

5. Create Release Draft

  • Click the Create Release Draft button to generate a draft.

6. Review the Release Draft

  • Once the draft is created, review the undelivered order lines included in the release draft.
  • When satisfied with the draft, click the Next button.

7. Define Release Actions

  • You will be taken to the Release Actions pane, where you can specify what actions to take for each item:
  • Auto: Brink Commerce will automatically perform the necessary requests to complete the cancellation.
  • Manual: Select this option if the cancellation has been handled manually in an external system. The action will be stored as completed.
  • Skip: This option will skip any automatic actions, and the cancellation will be logged without further processing.

8. Finalize the Release Draft

  • After defining the actions, click Finalize Release.

9. Monitor the Release Progress

  • A dialog box will appear, showing the progress of the release.
  • Once the process is complete, click OK.

10. Return to the Order Management Page

  • You will be taken back to the Manage Order page.
  • In the top left corner, click Back to Order to return to the order details.

11. Check Order Status

  • The order status will now be updated to Released, indicating that the release process has been completed.
